About data processing
Below you can read how we process your data, where we store (or have stored) it, which security techniques we use, and who can access the data.
Online store software
Shopify
Our online store is developed using Shopify software. Personal data that you provide to us for the purpose of our services is shared with this party. Shopify has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have entered into with them, Shopify is required to take appropriate security measures. These security measures include the use of SSL encryption and a strong password policy. Shopify uses cookies to collect technical information relating to your use of the software; no personal data is collected and/or stored.
Shopify reserves the right to share collected data within its own group in order to further improve its services.
Web hosting
We purchase web hosting and email services from Hostnet. Hostnet processes personal data on our behalf and does not use your data for its own purposes. This party may, however, collect metadata about the use of the services. This is not personal data. Hostnet has taken appropriate technical and organisational measures to prevent loss and unauthorised use of your personal data. Under the agreement, Hostnet is bound by a confidentiality obligation.
Email and mailing lists
MailChimp & Shopify
We send our email newsletters with MailChimp and/or via Shopify. They will never use your name and email address for their own purposes. At the bottom of every email that has been sent automatically via our website, you will see the ‘unsubscribe’ link. You will then no longer receive our newsletter. Your personal data is stored securely by MailChimp and Shopify. MailChimp and Shopify use cookies and other internet technologies that provide insight into whether emails are opened and read. Microsoft Office
For our regular business email communications, we use the services of Microsoft Office. This party has taken appropriate technical and organisational measures to prevent misuse, loss and corruption of your data and ours as much as possible. Microsoft Office has no access to our mailbox, and we treat all our email communications confidentially.
Payment processors
Mollie & Paypal
To process (part of) the payments in our webshop, we use the payment platforms Mollie and PayPal. These parties process your name, address and city/town details, as well as your payment details, such as your bank account or credit card number.
Mollie and PayPal take appropriate technical and organisational measures to protect your personal data. They reserve the right to use your data to improve their services and may, in that context, share anonymised data with third parties.
All of the safeguards mentioned above regarding the protection of your personal data also apply to those parts of the service provision for which Mollie and/or PayPal engage third parties.
Mollie and PayPal do not retain your personal data for longer than is permitted under statutory retention periods.

If these parties engage subcontractors, they will also make your data available to those subcontractors.

Exact online
To maintain our records and bookkeeping, we use the services of Exact online. We share your name, address and place of residence details, as well as details relating to your order. This data is used to administer sales invoices. Your personal data is sent and stored securely. Exact online is bound by confidentiality and will treat your data confidentially. Exact online does not use your personal data for any purposes other than those described above.

We sell (some of) our items via the Bol.com platform. If you place an order via this platform, Bol.com shares your order and personal data with us. We use this data to process your order. We handle your data confidentially and have taken appropriate technical and organisational measures to protect your data against loss and unauthorised use.
Marktplaats.nl
We sell (some of) our items via the Marktplaats.nl platform. If you place an order via this platform, Marktplaats.nl shares your order and personal data with us. We use this data to process your order. We handle your data confidentially and have taken appropriate technical and organisational measures to protect your data against loss and unauthorised use.
WebwinkelKeur reviews
We collect reviews via the WebwinkelKeur platform. If you leave a review via WebwinkelKeur, you are required to provide your name and email address. WebwinkelKeur shares this information with us so we can link the review to your order. WebwinkelKeur also publishes your name on its own website. In some cases, WebwinkelKeur may contact you to ask for clarification of your review. If we invite you to leave a review, we share your name and email address with WebwinkelKeur. They use this information solely for the purpose of inviting you to leave a review. WebwinkelKeur has taken appropriate technical and organisational measures to protect your personal data. WebwinkelKeur reserves the right to engage third parties in order to provide its services; we have given WebwinkelKeur permission to do so. All safeguards mentioned above regarding the protection of your personal data also apply to the parts of the service for which WebwinkelKeur engages third parties.
Purpose of data processing
General purpose of processing
We use your data solely for the purposes of our services. This means that the purpose of the processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use these data to contact you at a later time—other than at your request—we will ask for your explicit consent. Your data are not shared with third parties, except as necessary to meet accounting and other administrative obligations. All such third parties are bound to confidentiality under the agreement between them and us, or by an oath or statutory obligation.
Automatically collected data
Data that are automatically collected by our website are processed for the purpose of further improving our services. These data (for example, your IP address, web browser, and operating system) are not personal data.
Cooperation with fiscal and criminal investigations
In certain cases, Zodiac Online Shop may be legally required to share your data in connection with a fiscal or criminal investigation by government authorities. In such a case, we are compelled to share your data, but we will oppose this within the scope permitted by law.
Retention periods
We retain your data for as long as you are a client of ours. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you inform us of this, we will also treat it as a request for erasure. Based on applicable administrative obligations, we must retain invoices containing your (personal) data; we will therefore keep these data for as long as the applicable retention period applies. However, employees will no longer have access to your client profile or to documents that we have produced in connection with your assignment.
Your rights
Under applicable Dutch and European legislation, as a data subject you have certain rights with regard to personal data processed by us or on our behalf. Below, we explain what these rights are and how you can exercise them. In principle, to prevent misuse, we only send extracts and copies of your data to the email address already known to us. If you wish to receive the data at another email address or, for example, by post, we will ask you to verify your identity. We keep records of handled requests; in the case of an erasure request, we record anonymised data. You will receive all extracts and copies of data in the machine-readable data format used within our systems. You have the right at any time to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you suspect that we are using your personal data incorrectly.
Right of access
You always have the right to access the data that we process (or have processed) and that relates to you or can be traced back to you. You can submit a request to that effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send a copy to the email address known to us of all data, including an overview of the processors that hold this data, stating the category under which we have stored this data.
Right to rectification
You always have the right to have data that we process (or have processed) and that relates to you or can be traced back to you corrected. You can submit a request to that effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send confirmation to the email address known to us that the data has been corrected.
Right to restriction of processing
You always have the right to restrict the processing of data that we process (or have processed) that relates to you or can be traced back to you. You can submit a request to that effect to our privacy contact person. You will then receive a response to your request within 30 days. If your request is granted, we will send confirmation to the email address known to us that the data will no longer be processed until you lift the restriction.
Right to data portability
You always have the right to have the data that we process (or have processed) and that relates to you or can be traced back to you, carried out by another party. You can submit a request to that effect to our contact person for privacy matters. You will then receive a response to your request within 30 days. If your request is granted, we will send you, to the email address known to us, extracts or copies of all data about you that we have processed, or that has been processed on our behalf by other processors or third parties. In such a case, it is highly likely that we will no longer be able to continue providing the service, because the secure linkage of data files can no longer be guaranteed.
Right to object and other rights
In certain cases, you have the right to object to the processing of your personal data by or on behalf of Zodiac Online Shop. If you object, we will immediately stop processing the data pending the handling of your objection. If your objection is upheld, we will make available to you extracts and/or copies of the data that we process (or have processed) and will then permanently cease processing. You also have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe this is the case, please contact our contact person for privacy matters.
